• It is recommend you download and complete a New Admission Form for your Resident before you begin.
  • You need to set up My Site (including Wings, Rooms and Beds) before you can Add a Resident.
  • Team Members, Managers and Administrators can Add New Residents to your site.


There is a minimum amount of information that must be entered in a Resident Profile before it can be saved - this is shown under Stage One below.


The remaining information to complete a Resident profile - shown under Stage Two below, can be entered straight after Stage One, or can be completed at a later date, by editing the profile.


Stage One: Add a Resident (initial set-up)


When in Residents,

To Add a Resident, Click the +Add New Resident button in the top right corner of the screen:

Enter the Personal Details:

  • Under the Add New Resident heading, enter their Personal Details (the required fields are marked with an asterisk*):
  • First name* and Last Name*
  • Preferred Name - if a Preferred Name is entered, this will replace the First Name on any Reports.
  • Gender* - this is a mandatory field, but 'Ășndisclosed' can be selected if a Resident would prefer non-disclosure.
  • Identify As - if a resident prefers to provide the personal sense of an individual's own gender.
  • Date of Birth - Day, Month, Year.
  • Resident Type* - Day Centre, Home Care, Independent Living or Residential Care.
  • Site - this information will populate automatically and is locked down.
  • Wing* - a Resident can be allocated a Wing or Sub-wing. If there are any Sub-wings, they appear in brackets after the
    Wing name in the drop-down menu. If a Wing or Sub-wing is full, it will be greyed out and unavailable to choose.
  • Room*- the selection of available Rooms corresponds with the selected Wing or Sub-wing. As with Wings, any unavailable Rooms will be greyed out and unavailable for selection.
  • Bed* - Following the same principle as Wings and Rooms, only unoccupied beds can be selected:


Add a Resident photo (optional):

  • Click on the stock image in the centre (Set Image)

  • Select an image file (png, jpg or gif) from your local computer. The image file should be no more than 2MB.
    Please note, if a photo is not available when initially creating the Resident profile, it can be added at a later date.

  • Crop your image, or simply Save and Close.

Update the Resident Status:

  • Check the Resident Status, and update if needed.  The Status for a new Resident will automatically be Active and Permanent, unless manually updated.  If the status is changed, you must enter a Status Change's Reason:


Enter the Resident's Food and Fluid Textures and Special Diets:

  • Enter the initial Dietary Information for the Resident, including their IDDSI Food and Fluid Texture and Special Diets (if relevant), using the drop-down menus:
  • Where a Special Diet will block meal choices in the ordering form, it is shown in red font.
  • If Residents would like their food cut up, there is also an option to tick this preparation method, once you have selected their Food Texture:
  • Where this Cut Up option is selected, it will display, in brackets, after the Food Texture:

Nil by Mouth/PEG Feed Toggle:

  • Select this option if the Resident has Nil Food intake (NBM).  Note: if the Resident has PEG Feed and has some food intake, please record this information in Special Diets section only to ensure the Resident will appear in Meal Order Forms.

   

Enter any Declarable Allergens and Dietary Restrictions:

  • This is a mandatory field.
  • Declarable Allergens and Dietary Restrictions affect Order Forms by blocking meals which are unsuitable for the Resident, based on the allergens or other reactions caused by underlying recipe ingredients. 
  • Simply tick the checkboxes against any allergens or dietary restrictions that apply.
  • As this is a mandatory field, there is also an option to tick Nil Known if the Resident doesn't have any known allergens or restrictions.

Enter any Intolerances:

  • Enter any Intolerances for the Resident.  You can search the list using the scroll bar, or you can begin typing in a name in the search bar. 
  • Tick the checkbox against an ingredient you wish to include. Multiple ingredients can be selected. 
  • This field is not mandatory, so if the Resident doesn't have any Intolerances, it can be left blank.  However, there is also the option to tick 'Nil Known', which shows the question was not overlooked.
  • Don't forget to click Save.


Enter Site Address and Postal Address (if prompted):

  • If you have selected a Resident Type of Day Care, Home Care or Independent Living, you will be prompted to enter the Site Address and Postal Address.  Tick the checkbox if the site address is also the postal address.  
  • Click Save.  


At this point your Resident has now been successfully added to SoupedUp.


You can complete the Resident profile now, by continuing to moving onto Stage Two below (recommended), or this can be completed at a later date by following the steps to Edit a Resident. 


Stage Two: Add a Resident (complete profile):


Enter the General Information for the Resident:

  • Religion - select from the drop-down menu or leave blank. Click here for more information.
  • Celebrates - click the buttons to tick yes if the Resident wants to celebrate their Birthday and/or Events.
  • Assistive Requirements for Care - select from the drop-down menu if needed, or leave blank.
  • General Comments - type any extra Resident information here, if needed. 
  • Has dementia choices only  - click the button to tick yes if it applies to this Resident.
  • Has additional services - some facilities offer residents an additional services menu, possibly at a higher fee. Click the button to tick yes if it applies to this Resident.
  • If desired, enter the Dining location for the Resident using the drop-down menus to select Dining Room, Table Name and Seat Number.  Once dining locations are at capacity, they will be greyed out and unavailable for selection.
  • Click Save after entering all the General information for the Resident.

Click on the Dietary Information Tab:

  • This section is where all Dietary Information is entered for the Resident. Complete the remaining sections.
  • If there any Dietary Terms that don't appear in the default selections, these can be added in Dietary Settings.
  • Once added in Dietary Settings, they will be available for selection in the Resident's Dietary Information tab.
  • Enter any Fluid Management (Water jug) information for the Resident.
  • Enter any known Likes and Dislikes for the Resident, typing in the search field or using the scroll bar to search. 
    Multiple choices can be selected.  
  • Enter any Food Assist or Beverage Assist devices required by the Resident.
  • Click Save after adding all Dietary Information.


Click on the Breakfast Tab:

  • This section is where you enter all your Resident's preferred Continental Breakfast items. Please note; meal blocking will occur on all continental breakfast items based on allergies/dietary restrictions. If a resident has an allergy/dietary restriction for gluten, all continental breakfast items containing gluten will therefore be blocked from selection in this tab.

  • There are nine sections: Cereal, Milk, Bread, Butter/Margarine, Spread, Hot Beverage, Individual Hot Breakfast and Fruit Juice
  • To begin adding items, click on the green plus sign to the right of the item name:
  • A selection drop box will then appear, with choices specific to that item. Make a selection from the available choices.
  • To change the quantity, click into the number box and type in the new quantity, or use the up and down arrows to increase or decrease the number:
  • To add a second item, use the green plus sign at the end of the row. Clicking the red minus sign will remove the last item added.
  • In the example below, a second line has been added under Bread, as the Resident wants to have 2 different breads:
  • Where a selection box appears and it doesn't apply, leave it blank. For example, if the Resident drinks black coffee, then no selection would be entered for Select Milk and Select Sugar:
  • Click Save after entering all Breakfast choices for the Resident.


Click on the Drinks tab:

  • This section is where all Drinks are entered for the Resident - Hot Beverages and Other Beverages.
  • The meal service for delivery of these drinks is also selected.
  • Hot Beverages refers to hot drinks including coffee, tea, hot chocolate etc. 
  • Other Beverages refers to drinks such as water, juice, cordial and alcohol.
  • Click on the green plus sign to add a Beverage:
  • When adding Hot Beverages, there is the option to Select Milk type and Select Sugar type.
  • When adding Other beverages, there is the option to Select Temperature (Cold, Hot, Room, Warm).
  • In both cases, you need to tick which meal service/s you would like the Beverage delivered.
  • As with the Breakfast tab, the following rules apply to Drinks:

    (a) To change the quantity, click into the number box and type in the new quantity, or use the up and down arrows to increase or decrease the number.

    For example, a white tea (Hot Beverage) with full cream milk and 2 sugars:

    (b) To add a second beverage item, simply use the green plus sign at the end of the row. Clicking the red minus sign will remove the last item added.

    For example, the Resident likes an apple juice (Other Beverage) at breakfast and a white wine (Other Beverage) at dinner:
  • Click Save after entering all Drinks Choices for a Resident.

Click on the Snacks tab:

  • This is where all the snacks are entered for a Resident.
  • Snacks can be selected for delivery at Morning tea, Afternoon Tea and Supper.
  • Use the green plus sign to add any snacks, along with the time of the time of delivery.
  • A different choice can be made for each of the meal service times.
  • Use the number boxes to increase quantities for any item.
  • In the example below, the Resident likes to be asked on the day what they would like for Morning Tea, they like a bakery item for afternoon tea, and they like 2 biscuits at Supper:
  • Click Save after entering all Snacks for a Resident.


Click on the Supplements tab:

  • This section is where Supplements (if any) are entered for a Resident.
  • Use the green plus sign to add any Supplements from the drop-down box, along with the time of the time of delivery.
  • A different choice can be made for each of the meal service times.
  • Alternatively, the same choice can be made for all meal service times by ticking 'All'.
  • Use the number boxes to increase quantities for any item.
  • In the example below, the Resident needs Sustagen at Breakfast and Cheese & crackers at Supper:
  • Click Save after adding all the Supplements requirements for the Resident.


Click on the Dining Preferences tab:

  • This section is where you select Dining Location, Portion Size and Tray Requirements for the Resident for each meal service.
    The available selections are listed below:

  • Dining Location - Bedroom, Dining Room, Lounge Room, Courtyard.  If you need to add a Dining Preference that is not included in this list, please click here.
  • Portion Size -Extra Small, Medium, Large, Extra Large. Click here to learn more about portion size.
  • Tray Required - tick if yes, leave if no.

    In the example below, the Resident prefers to have Breakfast and Supper on a tray (with Tray Tags) in their bedroom. They like all other meals served in the Dining Room, without Tray Tags. The Resident prefers to have a Small portion for Dinner, but otherwise has a medium-sized appetite:

  • Click Save once all Dining Preferences have been entered for the Resident.

Click on the Measurements tab:

  • This section is where you can keep a record of a Resident's Weight (kg), Height (cm) and BMI.
  • As the Recorded Date is also displayed, it provides a record of any changes over time.

To Create a Measurement:

  • Click the blue Create Measurement button
  • Click into the Recorded Date box to view the calendar and select a date, then enter the Resident's Weight (kg) and Height (cm):
  • Click Save.
  • The BMI will automatically calculate.
  • The Resident profile information is now complete.

Click on the Contacts tab:

  • This section is where you enter all relevant Resident Contacts.
  • Examples of Contacts may be a Spouse, Relative or specialist e.g Speech Therapist.

To Create a Contact:

  • Click the blue Create Contact button under the Resident's Contacts tab
  • Enter the all required fields for the Contact:
  • Click Save.
